Who can review invoices?
Only Controllers and Account Owners can review invoices.
Review Invoices
Check information and mark an invoice as reviewed
Navigate to the Invoices tab and click on the sub-tab named Review. The list of invoices to be reviewed is displayed and you can check their information.
You can create a new supplier from the Review tab if needed. Click on Supplier and fill the information related to the supplier (legal name, address, bank details...Wenig LeserManage disbursement notes
🚨 Important
The note must be submitted as a “Supplier Invoice” and not as an expense report. In fact, an expense claim only concerns employees. Thus, approving an expense claim from a service provider could be seen as evidence of a subordinate relationship between the service provider and the co-contracting company in the capacity of “manager”. The business contract could be re-qualified as an employment contract under French law.

To obtain a proof of payment for your supplier, the payment must have been done from your Spendesk wallet and appear with the "Paid" status in Spendesk. Otherwise, we can’t provide you with a proof of payment.
Case 1: the supplier indicates that they have not been paid despite the PDF Proof of payment on Spendesk

Submit Supplier Invoices on Spendesk
Account Owners and any member with a Requester role can submit supplier invoices on Spendesk through the Requests tab. You can also send an invoice to a custom email address to create a draft on Spendesk and/or assign it to a user.
Controllers: If you need to submit invoices, contact your Account Owner or Administrator to update your role by adding the Requester role. Alternatively, ask for your company’s custom email address to send invoWenig LeserPurchase Orders
What's a purchase order?
A Purchase Order request is used when an employee needs to make a purchase or an order request on behalf of their company. It is a request, often with a quote attached, that is used to inform the cost center owner so that the purchasing process can be started.
Once the purchase order request has been made and has passed the approval process, a purchase order is created. Then, the Requester sends the confirmation to the supplier, inWenig LeserDelete an expense claim or invoice in the "Schedule" tab
Invoices
After confirming an invoice in Review, you might have made a mistake or need to come back on your decision. You can know prevent or correct mistakes by sending the invoice back to the Review step.
To this day, the payment process of an invoice was the following: Review > Schedule > Confirm. Once an invoice was reviewed and confirmed, the invoice in Schedule could not go back to the Review step. This is now possible with Send back to Review.

Roles
Only Controllers and Account Owners are authorized to pay or to bookkeep supplier invoices.
Review an invoice
Invoices must be reviewed by controllers in Expenditures > Invoices > Review before being scheduled from Invoices > Schedule and prepared for bookkeeping from the Prepare tab. They can then export invoices from the Export tab.
Pay invoices
Go to Invoices > Schedule to plan your payments. You can:

On Spendesk, you can activate an additional module to review and pay supplier invoices. Interested? Go to the Payment Methods tab and enable the Invoices option.
Collaborating with Freelancers
Working with freelancers is ideal for strengthening your teams or accessing specific expertise. However, paying freelancers does not work the same way as paying your usual suppliers.
Important: A freelancer is not an employee of your company. Their rights and obligations differ from thWenig LeserSubmit, apply and bookkeep credit notes
This feature is available to accounts using file-based accounting exports (single-entry, double-entry, SAGE or CEGID) as well as our native integrations with DATEV, Xero and NetSuite.
Submit a credit note
Credit notes can be submitted via the New request > "Submit an invoice or credit note" request flow. To do so:
Select the credit note file from your computer.
Our Spendesk OCR will attempt to fill in some data. Check the fields and add or edit any existing or mWenig LeserSupplier invoice Status
It's very easy to check an invoice's status on Spendesk.
Check an invoice's status
If you can see the invoice on the Requests tab, it means it's either pending approval by an approver, pending reimbursement by the finance team, or denied.
The status will show "To approve/ Approved/ Rejected".
If you've split an invoice's payment in several payments, then part of the invoice's amount might be visible in Payments while the main request still shows in Requests.

Suppliers and Spendesk users can forward invoices via email. This feature allows invoices to be automatically created in Spendesk's shared inbox when forwarded by email.
Forward an invoice via email: from a company user to the company
To forward invoices, simply send them to your company's dedicated invoice email address (which begins with "bills+..."). You can find this address in the Inbox section of Spendesk or in the side panel when you click "submit a new invoice."

Create a supplier
Before submitting an invoice (role: Controllers)
You want to create a supplier before uploading the first invoice to Spendesk.
Go to Settings > Accounts payable > Create a supplier to input necessary information.
