Approve a Card Request
Only account owners and approvers can approve or reject card requests. Other roles, such as controllers and admins, can approve requests only if they have the "approver" permission.
Approval requirements depend on the user's approval policy, meaning not all card requests need approval.
For example: You have an approval policy allowing you to spend up to 2000 euros per month and 1000 euros per transaction. You submit two card requests: one for 1000 euros and oneWenig LeserRequest a virtual card
Request your virtual card
Go to your account and click on New Request.
Then Make a purchase request > Request a Virtual Card
You can choose between a single-use card and a recurring payments card.
Fill in the information related to your request (amount, description, supplier...)
When you're ready, click on Confirm my request.

Change the budget/Spend limit of a recurring card
Head over to your "Subscriptions" tab
Click on the specific subscription you'd like to edit.
Click on "Manage subscription".
From there, you can manually increase or decrease your budget / limit of spend.

Once your recurring payments card's request is approved, you can find the details in the "Subscriptions" tab. You can change them if needed, just click on the little pen tool in the Subscriptions tab.
Depending on your role, you cannot edit the same details.
Note: "Transfer your subscription's ownership" is not possible on Adyen GBP VISA cards.

Single-Purchase Cards Overview
Single-purchase cards are debit cards designed for a one-time purchase or a single item on marketplaces. They offer a simple, secure, and flexible way to handle specific transactions.
Expiration and Lifespan of Single-Purchase Cards
A single-purchase card does not expire until you view its card details on the Requests page. If you have not accessed the card details yet, it remains valid.

PayPal is a payment solution you can use with our Spendesk cards. As it's an online service, we recommend using our virtual cards and to save them into your PayPal account. That said, you can still use your Spendesk physical card if needed but we don't recommend it as it's best to keep it for payments on-the-go vs online.
If you would like or need to use PayPal, here's how to proceed:
Step 1: generate a virtual card on Spendesk
First, you need to create a card request:
Log in to SpenWenig LeserPause or delete your subscription card
Pause your subscription
If you'd like to temporarily pause recurring payments made with the same supplier: Before proceeding, you may want to identify the subscription-related charges to ensure you're pausing the correct service.
Head over to the "Subscriptions" tab.
Select the subscription.
Click on 'Pause card'.

Cancel a Virtual Card Request
If you’ve decided not to use a single-use virtual card, it’s best to cancel the request. This way, the funds allocated to the card will be released and returned to your company account.

When to use them
By default, Spendesk users usually carry out purchases by using a 'Single-Use Card'.
However, you can (and should) use a Recurring payments card if you are paying:
for a recurring service (i.e. a Linkedin subscription or Intercom, etc.) of one supplier at a time only,
for recurring payments to the same supplier (train tickets, hotel rooms, Apple supplies...),
if your card is meant to be charged several times by different merchants (on the same suWenig LeserFAQ - Subscription cards

How do our recurring/subscription cards work?
Our recurring payments cards are virtual cards set up with a monthly budget. Once generated, add your card's numbers onto the merchant's website, and the payments are processed every month.
Request a virtual card

Most of the time, a single-use card is adequate for your bookings.
However in certain cases you might need to request a recurring payments card.
You need to show the card upon arrival
When you book your travels, prefer e-tickets/mobile tickets and choose to be charged before arrival. Then, you don't have to show your card. If you still need to, log on our mobile app > select your payment > click on "View the card".
Your booking is cancelled

Role needed: only Account Owners or user having the 'Admin' AND 'Controller' roles can transfer a subscription from one member to another. Spendesk teams can't do it on your behalf.
Users transferring the subscription
Head over to the "Commitments > Subscriptions" tab.
Select the subscription you'd like to edit.
Click on the Edit subscription button.
Select the new subscription owner from the dropdown menu.
Save changes.

Pay Online with a Virtual Card
To pay online using a virtual card, follow these steps:
Go to Expenditures > Requests.
Click on your request.
Select the "Get card" button.
Your virtual card will be displayed.
You can now copy the card details and use them to pay online.
Once your payment is successfully processed, the request will disappear from the "Requests" tab and will be moved to All expenses.
